Message transparency and minor-safety rules
Messaging in Volunteer Circle is built on two rules that aren’t optional and aren’t left to anyone to remember. They’re part of how the platform works at its foundation, because a tool used in churches — often with young people — has to be safe and accountable by design.
Rule 1: Admins can see all messages (transparency)
Church admins can see all messages in their church — team chats, group chats, and one-to-one conversations. This is deliberate. In a ministry setting, leadership accountability matters more than private back-channels, and transparency protects everyone: volunteers, leaders, and the people being served.
What this means in practice:
- You can edit or delete a message from your own view.
- The original is retained and remains visible to admins, along with a revision history.
- “Deleting” is a soft-delete — it changes what you see, not what the church’s record holds.
This isn’t about surveillance for its own sake; it’s about making sure nothing happens in a hidden corner. Everyone using the platform should understand that messages are visible to church admins.
Rule 2: No one-on-one with a minor (the two-adult rule)
Any conversation that includes a minor must have at least two adults participating. A private one-adult-to-one-minor thread cannot exist.
Crucially, this is enforced by the system, not by the interface or by good intentions. It’s checked at the data level, so it holds even if someone tries to work around the screen. This mirrors the “two-adult rule” many churches already follow in physical ministry settings, applied to digital communication.
Why it’s enforced this deep: child-protection rules can’t depend on a user remembering to do the right thing or a button being in the right place. Building it into the foundation means it’s always true.
What this means for you
- Admins: you have visibility into all church communication, and the safety rules are working for you automatically.
- Leaders: when messaging anyone who is a minor, expect a second adult to be part of the conversation — that’s the system protecting you and the student.
- Volunteers: know that messages are visible to your church’s admins, and that conversations involving minors always include more than one adult.
