What is Volunteer Circle?

Updated June 22, 2026

Volunteer Circle is a volunteer management platform built for churches. It exists to help the people who lead volunteers do three things well: care for them, communicate with them, and train them.

Most churches already have a tool that handles scheduling and the church database. What those tools rarely help with is the relational work — noticing when a volunteer has gone quiet, sending the right encouragement at the right moment, and getting new servers trained without a binder and a prayer. That gap is what Volunteer Circle fills.

The three things it does

Care. Volunteer Circle keeps track of how long it’s been since each volunteer was meaningfully contacted and surfaces the ones who need attention. Leaders can log a call, text, email, or in-person conversation, see an at-a-glance picture of their team’s health, and get gentle reminders so no one slips through the cracks. There’s also optional AI help that drafts a personalized message when you’re not sure what to say.

Communication. Teams get their own chats automatically, and leaders can message a whole team, a small group, or one person. Everything is built with two non-negotiable rules: church admins can see all messages (transparency), and conversations involving a minor always require at least two adults present (safety).

Training. Leaders can build full courses — modules and lessons with video, audio, text, and downloads — and assign them to a team or an individual. Progress is tracked automatically, so you can see who has finished and who needs a nudge. Volunteer Circle includes a starter library of ready-made courses, and churches on the right plan can author their own.

What it deliberately is not

Volunteer Circle does not do volunteer scheduling in its first version. That’s intentional. Nearly every church management system already does scheduling, and it isn’t where leaders are stuck. Volunteer Circle focuses on the relational and developmental work that existing tools neglect. (Scheduling may come in a much later version.)

Who it’s for

Anyone who leads volunteers at a church:

  • Church admins run the whole picture — people, teams, care, messages, courses, and billing.
  • Team leaders — who can be staff or volunteers themselves — manage their own team: members, messages, course assignments, and care.
  • Volunteers use the mobile app to see their courses, messages, profile, and team.

A key idea runs through the whole product: leadership access isn’t reserved for paid staff. A trusted volunteer can be given leader access to coach other volunteers. Roles are flexible, so the same person can lead one team and simply serve on another.

Web and mobile

Leaders and admins get the full product on both web and mobile — anything you can do on the web, you can do on your phone. Volunteers use the mobile app, which gives them their own focused experience. Everyone shares one login and the same live data.
