Roles explained: admin, leader, and volunteer

Updated June 22, 2026

Volunteer Circle uses roles to decide what each person can see and do. There are three you’ll work with day to day — church admin, team leader, and volunteer — plus a platform role our team uses for support.

A guiding principle: leadership access can be granted to anyone, not just paid staff. A trusted volunteer can be made a team leader to coach other volunteers. Roles are tied to a person’s membership in a specific team, so the same person can be a leader on one team and a volunteer on another.

Church Admin (Owner/Admin)

The widest role inside a single church. An admin can do everything:

  • Manage all people, teams, and ministries
  • See all care data across every team
  • See all messages (this is part of the platform’s transparency commitment)
  • Create and manage all courses
  • Change church settings and billing
  • Grant and change other people’s roles

If you own or oversee the church’s account, this is you.

Team Leader (staff or volunteer)

A leader is scoped to the team or teams they lead, including any nested sub-teams under them. A leader can:

  • View and manage the members of their team
  • Message their team, a group, or individuals
  • Assign courses and see their team’s training progress
  • Log and view care for their team

Care visibility for leaders is configurable by the admin. By default, leaders can see and log care for their own team, while admins see everything. An admin can adjust how much care visibility leaders get.

The important thing to remember: “leader” is about responsibility, not job title. Volunteers can hold this role.

Volunteer

The focused, personal experience — used on the mobile app. A volunteer sees:

  • My courses — what’s been assigned to them and their progress
  • My messages — their chats and team conversations
  • My profile — their own information
  • My team roster — the people they serve alongside

Volunteers don’t see other teams’ data, the care console, or admin settings. Care information about a person is never shown to that person about themselves.

Platform Super Admin (our team)

This is the Volunteer Circle team, not a church role. It’s used to manage churches across the platform and to provide support — including stepping in to troubleshoot an account when asked. Any such access is logged with an audit trail. You won’t assign this role; it lives on our side.

How one person can hold several roles

Because roles attach to team memberships, a single login can carry different roles in different places. For example, Maria might be the leader of the Hospitality team while also serving as a volunteer on the Worship team. She sees leader tools for Hospitality and the volunteer experience for Worship — automatically, with one account.
