Using AI-suggested care messages

Updated June 22, 2026

The concepts here are stable; exact buttons and screens will be illustrated once the app’s interface is final.

Reaching out is the easy part to intend and the hard part to actually do — especially when you lead a lot of people and don’t always know what to say. Volunteer Circle’s AI assist exists to lower that friction.

What it does

Drafts a personalized message. When you go to reach out to a volunteer, the AI can write a first draft tailored to that specific person — drawing on details like their name, their birthday, the team they serve on, and how long it’s been since you last connected. So instead of a blank box, you start from something warm and relevant.

Suggests who needs attention. Beyond a single message, the assist can look across your people and surface the ones who are overdue — effectively, “these five volunteers haven’t heard from you in a while; here are drafts to get you started.”

Powers the template categories. The same engine sits behind the message-template categories (Encouragement, Prayer, Appreciation, Vision, Celebration), helping generate on-theme starting points.

You’re always in control

The AI drafts; you decide. Every suggested message is a starting point you review and edit before it goes anywhere — nothing sends automatically on your behalf. The goal is to save you the blank-page moment, not to automate the relationship. The care still comes from you; the assist just helps you get the words out faster.

How it stays responsible

A few things are true behind the scenes that are worth knowing:

  • It runs on a small, efficient model called on our servers — your church’s AI keys and data aren’t exposed on the device.
  • Usage is metered per church, with sensible caps by plan. At the cost of these small models a care draft is a tiny fraction of a cent; the caps exist to prevent abuse, not to nickel-and-dime you.

When to use it (and when not to)

  • Great for: breaking the ice, finding words for a birthday or a hard season, clearing a backlog of overdue check-ins.
  • Still yours: anything that needs your specific knowledge of the person. Read every draft and make it sound like you before sending.
